Forms & Measures - New Macros to Customize Your Messages

Owl Forms available with the Advanced (CAD) or Owl Core (US) plans. Measures are exclusive to Professional (CAD) and Owl Pro (US) plans. Contact us to upgrade.

This feature is accessible to Owner/Therapist and Admin user types

We’ve expanded the list of Macro options for Forms and Measures to match what you may be used to seeing under the Reminders customization section. A “macro” is a code that Owl will fill in with the correct information. These allow you to easily deliver messages to Clients that are personalized for their own forms and clinical measures, without having to change any information each time. Simply click to copy a macro and paste it into your custom message

Settings - Support basic HTML on customizable fields

This feature is accessible to Owner/Therapist and Admin user types

The content fields in Settings > Client Portal (Home and Booking tab) now support basic HTML formatting ie. bold, italic, underline for further customization. This will allow you to call out important details on the client portal for visitors to see

A quick google search for “HTML Formatting” will show you the elements you need to include in your content to make the text appear as desired

Owl Video - Filter Background Noise

Owl Video only available with the Professional (CAD) or Owl Pro (US) plans. Contact us to upgrade.

Added a new feature to Audio and Video settings within a Video Therapy session to allow users (Therapist or Client) to enable background noise filtering. This will help improve the audio quality when participants have a lot of background noise like kids or typing. This feature will be enabled by default for best quality audio, but can be disabled from the settings menu.

Secure Messaging - Allow Therapist to Delete Read Messages

Owl Secure Messaging only available to Professional (CAD) and Owl Pro (US) plans. Contact us to upgrade.

Previously Owl users could only delete a message in secure messages prior to the recipient having ‘read’ the message. We now allow Owl users to delete any messages, read or unread, to allow further control over your conversations and to correct potential errors. Functionality for clients remains the same - they can only delete a message prior to it being ‘read’ by the Therapist.

Secure Messaging - Save Attachment to Client Documents

Documents sent to the therapist by the client through secure messaging are often confidential, hence the use of this channel. Currently, if a client sends a document through secure messaging, and the therapist would like to add this to the client's document section in their profile, they would need to download the document to their device first and then upload it into the client's profile, which could compromise the security of the document.

We’ve added an additional option to add an attachment directly to the Client’s Documents so save time and ensure attachments are always stored securely. This menu option will show in a disabled state if the attachment has already been added.

Payment Details - New Client Summary Footer

This feature is accessible to Owner/Therapist and Admin user types

Invoices and Receipts allow for customization of the e-mail message as well as the footer, but previously only an e-mail message was supported for Account Summary documents. We have added a new field in settings to allow you to add a short custom footer on Account Summaries if desired

Logs - Record of Changes to a Session

Previously the Logs tab on a client profile only showed communications that were sent to the client from Owl (ie confirmations, reminders, etc). We have added user logs to this section so any Owl users who have access to a client’s file can now see when a user creates or updates a session via the clinic portal. This will make it easier for clinicians to track changes and ensure that only authorized users are able to manage sessions

Filters - New Other Therapist Option

Owl users can now filter the Clients list by Primary Therapist and/or Other Therapist, to allow for easier management and administration of your portfolio.

Sessions and Notes - Move Deleted Notes to Trash + Restore

Enhancement coming soon: associate a non-session note to a session

When a session is deleted from Owl, any associated notes are permanently deleted along with the session, and can only be restored by contacting Owl Support. When they are restored, they may not be in the location or format that you need, requiring additional time and effort to copy the content into a new note. We understand that this process can be frustrating for you, so we have created a new “Trash” area under Clients > Sessions & Notes for deleted session notes to live.

Henceforth, notes from deleted sessions can be found in the Trash, where you will have the option to view or restore them. Session Notes that are restored from here will be converted to Non-Session Notes and be opened as normal from there.

Additionally, regular Non-Session Notes that are deleted will also be moved to the trash and can be restored.

Reminders - Send Reminders for Rescheduled Sessions

When a session is rescheduled to a date in the future after any reminders have been sent, a new reminder will now be sent for the new date. Client reminders contribute significantly to high attendance rates

After attendance has been marked for a session, the Session Info modal will now show whether confirmations and reminders were enabled for that session. This will help both Therapists and Owl Support team troubleshoot issues with client communications

Data Export - Separate bad debt in A/R Export

This feature is only accessible by Owners

We have added an additional option to A/R Exports so that Owners can generate a separate A/R report for bad debt. When this option is selected, your export will be downloaded in a .zip file containing two .csv files. You will need to extract the files from the .zip in order to open them in your preferred spreadsheet software. This should make it easier to reconcile with external accounting and payroll software

Add Therapists

If you are currently on an Owl solo plan and would like to upgrade to a group practice, or if you would like to reduce the number of therapists on your group plan, please contact us.

This feature is accessible to Owner/Therapist and Admin user types

Previously, a group practice wanting to add an additional therapist user would need to contact Owl support to upgrade their subscription. Owners and Administrators can now perform this action from the Settings > Subscription section of Owl, saving you time and allowing new team members to get started with booking sessions right away.
