Session Created Notification Toast

When a session is created, a green toast message appears in the top right corner to inform the user that the action was successful. We've added additional information to this message, so if a client has notifications enabled, you will now see a confirmation that the notification was sent as well.

As we have gathered more information about our user's cancellation policies, we identified a need for more time options on appointment reminders, so your clinic can recoup late cancel fees where applicable.

Hide Attendance Types

Once sessions are cancelled, they can take up unnecessary space on calendars. Especially for Group clinics with large volume of cancellations, having Cancelled Appointments persistently displayed on the calendar can impact usability. We've added an additional calendar setting that allows you to hide specified attendance statuses from the calendar view so that the calendar appears more organized and less overwhelming.

Add District of Colombia (DC) to Intake Forms

Previously when clients who reside in DC were filling in their address on an intake form, they were unable to select District of Colombia from the State dropdown. We've added this option so that clients can accurately enter their addresses and it will populate to the client profile.

Superbill Shortcuts and Customization

We've added more places in Owl where you can create or customize a Superbill, to make it easy for you to provide these documents to your out-of-network clients and help them get reimbursed. 

1. The Payment Actions menu on the session modal will now show "View Superbill" if a Superbill has already been generated for that session

2. When sending a Superbill, the e-mail message is now customizable, similarly to other invoice and receipt e-mails 

3. Added a Create Superbill Shortcut to Client Profile > Actions, and Workflow > Actions

Group Edition

Form Completion E-mails

To give group clinics more flexibility, we've added an additional setting option to direct form completion notification e-mails to the practice e-mail, instead of the individual therapist. Look for this option under Therapist settings, and configure how you would like to be notified. The default option will send to the Primary Therapist

Configure Therapist Access to Client Exports

We understand that some colleges may have different requirements around access to data exports, so we're allowing you to configure whether Therapists within a group practice have access to download client exports. As a practice Owner, navigate to Settings > Practice Details > Therapist Settings to configure this option to suit the needs of your practice 

Customize Therapist Access to Notes

In order to protect the confidentiality of a client who is being seen by more than one therapist at a practice, we now offer the option to lock session notes so that they can only be viewed by the author of the note and their supervisor if applicable. As a practice owner, navigate to Settings > Practice Details > Therapist Settings to toggle this option to No if necessary.

Sending Measures To Clients

To help reduce distractions on Owl Video Sessions, we've added the (highly requested!) option to apply a background blur or image. You can find this option in the Call Settings menu, either before joining, or while on the call.

Billing Contact Details 

In order to ensure all billing related communications are sent to the appropriate point of contact, we have added an additional setting for a billing contact under Subscription > Billing. This is filled in by default with your practice information, but do be sure to check to make sure you don't miss any important messages from Owl regarding your subscription. 

Hide Client Info on Financial Documents

Certain insurance providers, like EAPs, may request financial documents without any client details. We've added an additional option on PDF Preview modals to allow you to Show/ Hide client information on the document before you send it. 


Allow Admins to access Stripe

At clinics where the Admin helps to manage payments and reconciliation, they may need access to the Stripe dashboard, exports, and settings so that they can compare deposits with bank records. A clinic owner can now navigate to Settings> Practice Details > Admin Settings to enable this option if required; it will be set to No by default.

To streamline our support processes and save time for our users, the "E-mail our team" form within the app now includes a couple of additional options:

  • If your issue pertains to a specific client profile(s), you can list the affected client IDs in a textbox, which our team will receive along with your message
  • Occasionally when an issue is specific to your clinic, we may need to access your account to diagnose the problem. You can grant permission for the Owl team to do so by checking the box on the form - we will always access using Privacy Mode so that no client PHI is revealed
